Recruit Personnel is recruiting for our client based in Scone NSW, who is looking for their next Executive Assistant to support the General Manager and Board of Directors.

This is a pivotal role for a highly organised, professional, and discreet Executive Assistant who thrives on managing complex administrative and governance tasks, supporting senior leadership, and ensuring the smooth operation of the Head Office and Board functions.

About the Role & Key Responsibilities

As Executive Assistant, you will be the trusted point of contact for the General Manager and Board of Directors, providing high-level executive and administrative support. Your work will ensure governance processes, Board operations, and office administration run efficiently and professionally.

Key responsibilities include:
  • Acting as the first point of contact for the Board of Directors and General Manager
  • Managing complex diaries, meetings, appointments, and travel arrangements
  • Preparing, collating, and distributing Board business papers, correspondence, and documentation
  • Taking accurate and comprehensive minutes at Board and other meetings, ensuring timely distribution
  • Drafting high-quality correspondence and reports as required
  • Maintaining a central filing system and administrative records
  • Providing secretarial support to the Chairman, Directors, and General Manager
  • Processing payroll, managing creditors, and undertaking general financial administration
  • Performing additional administrative duties as directed by the General Manager or Office Manager
About You
  • Proven experience as an Executive Assistant, Board Secretary, or senior administrative professional
  • Exceptional organisational, time-management, and prioritisation skills
  • Strong governance, minute-taking, and document preparation abilities
  • High level of discretion and professionalism with confidential information
  • Excellent written and verbal communication skills
  • Ability to manage competing priorities and work confidently with senior stakeholders
  • Experience with payroll and accounts payable processes (desirable)
